Completing Your Assigned Recordings

So, you've been selected to be on a team of recorders and create personalized videos! Essentially, your admin will go in and assign you a list of recipients, and when you go into your portal, you'll be able to see everyone assigned to you and record videos for them. Let's walk through the process step-by-step!

Step 1. Log Into Your ThankView Portal

If it's your first time using ThankView, your admin will send you an invitation to the platform. You'll receive an email with your portal information and a link you'll follow to set your password. Make sure you do this promptly, as your link expires after 72 hours!

Step 2. Wait for Your Assignments

When your admin creates an assignment for you, you'll immediately receive an email notification! That email will tell you the name of the campaign, how many people you've been assigned, and recording instructions. Click the Record Your Video! button in your email and you'll be taken to a log-in screen. Enter your credentials.

Step 3. Navigate to Your Recordings Page

Once you're logged in, you'll land on your homepage. From here, you have two ways of getting to your Recordings Page:

Notifications Tab

  1. In the top right-hand corner, click your Profile Icon.
  2. Select Notifications from the dropdown.
  3. You'll find a notification that says "You've been assigned to record videos for [#] recipients in [Campaign Name]. Record videos." Click the Record Videos link!

Campaigns Page

  1. In the top navigation bar, select Campaigns.
  2. Locate the campaign that was assigned to you by scrolling or utilizing the search bar. Note: this campaign title will also be in the notification email you received.
  3. Select the Edit button on the right end of the campaign card.

Step 4. Devise a Recording Strategy

When you land on your recordings page, you're given a list of all of the people you're meant to record videos for. The list sits on the left side of the platform and if you select a recipient's checkbox, you'll be given three options for attaching videos:

  • Webcam: Use a built-in or external webcam to capture your message. 
  • File Upload: Add a video file that lives on your computer.
  • Video Library: Attach a video that has already been added to your Video Library.

Plan Your Logistics

Now is a good time to decide how you want to knock out your recordings. Do you have a good-quality webcam you can use? Would you prefer to record your videos on your smartphone and upload them to the platform?

You'll also want to think about things like location and what you're wearing - it's always good to feature familiar or branded elements in your videos! If you're looking for more pointers around creating great video content, look no further than our video on Recording Tips!

Decide Your Message

There's a good chance your admin has already given you great instructions, but it's ultimately up to your to determine how you want to get your point across! Take a minute to outline what information you're going to include and even rehearse a bit to practice your delivery. Try to sound confident, and as natural as possible - like you're having a genuine conversation!

Think About Personalization

Not only can you personalize your videos by using recipients' names, but on your Recordings Page, you have even more information at your fingertips! You have the ability to display the contents of any field attached to a contact so that you can use it for reference when recording. Examples of this would be: referring to a specific Last Donation amount, mentioning their Class Year, or how many years they've given - if your institution keeps track of this data. To access this information inside of your campaign:

  1. On your Recordings Page, in the left-side panel with your recipients, you'll see a dropdown called Details, right below your search bar.
  2. Click on this dropdown and you'll see a list of all of the possible merge fields you can view.
  3. Select the field you would like to view and your recipients will expand to show their information. If there are dashes in the field, it means the field doesn't have data populated.
  4. Record your videos and refer to the displayed information, your recipients will be impressed that you remembered little details!

Step 5. Start Recording Your Videos

Use Your Webcam

  1. Select the Webcam option and you'll be given a preview of your webcam.
  2. Using the camera and microphone icons and the top of that webcam view, make sure you're connected to the correct devices.
  3. Prepare what you're going to say. Don't forget you have your instructions above your video preview window and any fields in view in the left-hand sidebar. Click the button at the bottom of your webcam preview called Toggle Instructions and you're able to view them teleprompter style.
  4. Click Start Recording at the bottom of your webcam preview and deliver the video message of your life!
  5. Select Stop Recording when you're done and wait for it to process.
  6. Using the icons in the bottom bar of your video preview, make any necessary edits.
  7. Once you're pleased, select Next Recipient in your preview window to move on to the next recipient!

Note: you can log into ThankView on your smartphone and do all of the above in your browser!

Upload Files

While it's recommended to record your videos directly into the ThankView platform (either Desktop or Mobile) - you are totally able to batch record with a DSLR or other camera for higher-quality video and upload that directly to your campaign using the Upload option. A few tips for this method:

  • Utilize a tripod to make sure your video is steady.
  • Make sure your video is under 2GB.
  • Use .mov, .avi, or .mp4 video files. 

  • Name your files clearly for easy attachment.
